You've probably seen this feature in action when someone shares a particular document from within Google that anyone can view. The ability to share with the public is a great way to distribute certain forms of documentation, and even better when sharing that document, via Google Drive, becomes visible to search engines.


You might be asking yourself, "Why make a document public, when you can just share it with the specific people you want to view the document? The answer is simple: When you have non-proprietary documentation that you want to go wide-spread, manually sharing that document with individual users or groups, via Google Drive, can be incredibly time consuming.


This is not an efficient means of disseminating information. That's where public sharing comes in. There are two caveats to this. Although the shared document is available through search engines, the best way for users to reach the public document is via the link; so you will have to share out a link for the document.


Of course, those who have the link can then also distribute it to help spread word of the document. The second caveat is that Google has a hard limit of people who can simultaneously view a document, and only 50 people who can simultaneously edit the document.


That's still a considerable amount of users that would be far more time consuming to reach, if you're sharing manually. Google Drive is great—you can access your files from anywhere, on pretty much any device, and sync them between your computers.


First, navigate to the file you want to share. Right click on the file, then go down to the Google Drive entry into this menu. From there, everything else is basically the same. Once that option is enabled, the link will be populated. You can simply highly it, then copy and paste it into an email, chat message, or anywhere else. When you generate a download link, it automatically allows the file to be viewed by anyone with the link.


You can, however, change this setting using the dropdown menu directly above the link. The good news is that Google does most of the heavy lifting here, and the default sharing action is fairly private your link is accessible by anyone, but only if they know the link , so you can quickly and efficiently share files.


If you need to build a link on a mobile device, the process is equally as simple—though the varying options are more hidden. This is where the only real difference between Android and iOS happens: on iOS, the link is simply copied to the clipboard, so you can share it. On Android, the share menu will show up, giving you a lot more options.


But you should be able to wing it from here—just choose the app you want to share the file in. This is the information button. Scroll down just a bit, until you see the first sub-section after the file info. Easy peasy. From the Drive website, navigate to the file you want to share, then right-click it.


I love that the modern web supports things like this. There are actually a couple of options you can choose: Share or Get Shareable Link. They both basically do the same thing, though the former offers more options. The latter simply generates the shareable link and makes it easy to copy. Once you click the Share button, a the share dialog will pop up.


On macOS, look at the top right of your screen. Your computer's Google Drive folder will contain both your personal Google Drive and any Shared Drives you can access. The only difference between these files and any other file on your computer is that these files are not stored on your computer by default and any changes you make to them will automatically sync with your cloud storage. You can install Google Drive on multiple computers and as long as they are all online, they will synchronize your files automatically between every computer.


File Stream allows end users to work offline. To work offline right mouse click on a folder or file and select Drive File Stream, Available Offline.
